How do I join?

  • Before joining the scheme please check that the scheme is beneficial to you by using the HMRC Calculator
  • Get in touch with our Customer Care team, by calling 0800 085 2875 or emailing modcivilian.motivation.uk@sodexo.com, and ask them to send you an email invitation to join the Civilian scheme. 
  • When you receive the invitation simply click on the link within the email and complete your online salary sacrifice agreement, which gives the MOD permission to pay part of your salary as vouchers.  It is important that you check your details carefully, particularly your Staff Number. If this is incorrect we will not be able to process your application for vouchers. Please complete your registration by 10th of the month, with an Effective From date of 15th or before, in order to receive your childcare vouchers within 5 working days of pay day.
  • If you would prefer to, you can download a paper Salary Sacrifice Agreement from the Leaflets and Forms section of the website and post it to us at the Freepost address. All paper work should be received by Sodexo by the last day of the calendar month for you to receive your vouchers the following month, within 5 working days of pay day.
  • In order to spend your vouchers, you will need to provide us with details of your childcare provider. If they already accept Sodexo vouchers, we simply need their name and Sodexo account number on your salary sacrifice form. If they are not yet registered with Sodexo, give them a copy of the Information for Childcare Providers leaflet and ask them if they will accept vouchers as payment.
  • They then need to complete the Childcare Providers Registration form, and give it back to you together with a copy of their registration certificate. You will be able to spend your vouchers after we have received these forms and registered your childcare provider.
  • If you have opted for e-vouchers then you will receive a welcome email from Sodexo which will contain information about the username and password you will need to access your e-voucher account.
  • You will receive an email to confirm your e-vouchers have been credited to your account; you will then need to transfer the vouchers to your registered childcare provider, either by a one-off payment or standing order.
  • We have also developed a ‘family account’ into which more than one adult (each with parental responsibility for the child) can receive their vouchers, simplifying payments and minimising administration. Contact us for more details
